Administrative Assistant

We are seeking a motivated Administrative Assistant to support our operations and help manage our Lab Accelerator and CvilleBioHub. The ideal candidate is organized, detail-oriented, and able to manage various administrative tasks efficiently.

Key Responsibilities
Administrative Support:
- Assist in scheduling meetings, appointments, and coordinating events.
- Handle general inquiries and communications with a high level of professionalism.
- Provide support in document preparation, proofreading, and data entry.
- Manage planning, communication, and execution of board and committee meetings.
- Respond to inbound inquiries and provide information about membership and programs to prospective and active members.
- Run general errands to support the efficiency in operations of the organization.
Financial Administration:
- Assist in basic financial tasks, such as invoicing, expense tracking, and reconciliations.
- Collaborate with the finance team to ensure accurate record-keeping.
Database Management:
- Maintain file structure and maintenance of Google Drive and update databases, ensuring
accuracy and completeness. - Support data entry and management for various programs and initiatives.
Event Administration:
- Support Program Director with ~15 events per year through general organizing and administrative tasks in preparation for events (ie., printing nametags, setting up banners, food ordering and delivery, reception, etc.
Communications:
- Generate and post content through social media channels
- Support website maintenance, specifically helping to keep content fresh with job posts,
news, events - Support graphic design needs to generate materials and image assets for events
- Support the Communications Committee as needed
Experience and Qualifications
- 1-5 years of experience in an administrative or similar role.
- Strong organizational and multitasking skills.
- Excellent communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.
- Ability to work independently and as part of a team in a fast-paced environment.
