Partnerships & Marketing Operations Manager

CvilleBioHub is seeking a highly organized, tech-forward Partnerships & Marketing Operations Manager to play a central role at the intersection of sponsor stewardship, membership management, business development coordination, and marketing operations.

This position ensures partner commitments are fulfilled, HubSpot remains a clean and reliable source of truth, outreach campaigns are executed seamlessly, and communications to sponsors and members are timely, accurate, and polished. The Manager supports proposals, membership workflows, marketing automations, and sponsor engagement—serving as the operational backbone for both revenue and communications functions.

Key Responsibilities

Sponsor & Membership Stewardship

  • Serve as the primary operational point of contact for sponsors and C-Suite/Member companies.
  • Track all sponsor and membership agreements, benefits, deadlines, renewals, and deliverables.
  • Ensure accurate placement of logos, descriptions, web listings, signage, and event visibility—executed on time and to standard.
  • Communicate updates, reminders, confirmations, and deliverable details with clarity and professionalism.
  • Coordinate interviews, member spotlights, and sponsor-driven content.
  • Support renewal season by preparing outreach lists, materials, templates, and automated workflows.

Marketing & CRM Operations (HubSpot)

  • Maintain highly accurate and organized CRM data across contacts, companies, deals, and ticket pipelines.
  • Build and manage forms, landing pages, segmented lists, and marketing automations.
  • Set up and schedule email campaigns (with copy guidance from Marketing leadership).
  • Create membership and sponsorship outreach sequences through HubSpot workflows.
  • Support marketing processes, tracking, and approval flows.

Proposal & Business Development Operations

  • Prepare polished sponsorship proposals, pitch decks, membership packages, and operational templates.
  • Coordinate routing with internal stakeholders to ensure accuracy, brand consistency, and timely delivery.
  • Track sponsor and member pipeline activity in HubSpot and flag follow-ups as needed to support revenue operations.

Communications & Social Scheduling

  • Draft basic sponsor/member communications (with marketing review and approval).
  • Send confirmations, reminders, updates, and other routine outreach.
  • Assist with scheduling approved social media content.
  • Support website updates related to sponsors, members, and partnership visibility.

Experience and Qualifications

Qualifications

  • Strong organizational, operational, and communication skills.
  • Experience with HubSpot (or similar CRM) required; familiarity with workflows/automation highly preferred.
  • Strong written communication and comfort interacting with external partners and executives.
  • Experience in marketing operations, membership/sponsor support, and BD coordination.
  • Ability to stay organized within a dynamic, fast-paced environment.
  • High professionalism, reliability, and excellent follow-through.

Pay: $70,000.00 per year
