Rivus Pharmaceuticals is seeking a proactive and detail-oriented Office Manager/Executive Assistant to manage our office’s daily operations. This role requires a dynamic individual who excels at multitasking, thrives in a fast-paced environment, and is committed to ensuring the smooth functioning of the office.
Key Responsibilities
- Manage day-to-day office operations to ensure a productive and organized work environment.
- Maintain and order office supplies, manage vendor relationships, and coordinate with IT and Facilities.
- Develop and enforce office policies and procedures to enhance operational efficiency.
- Serve as the primary point of contact for office-related issues.
- Organize business meetings, conferences, and events, including logistics and attendee coordination.
- Track and reconcile expenses, credit card receipts, and other financial documents.
- Support executives with confidential and time-sensitive tasks and projects, which may include filtering communications and escalating important matters to executives.
- Organize and maintain digital and physical filing systems.
- Collaborate with departments to ensure smooth operations across the organization.
- Assist in supporting employee initiatives and programs.
- Liaise with IT on office technology, software tools, and troubleshooting technology issues.
- Assist with legal operations and contract management, including sending out form Confidentiality Agreements and Consulting Agreements, maintaining certain tracking records for Consulting Agreements, and arranging DocuSign envelopes.
Experience and Qualifications
- A bachelor’s degree or equivalent work experience is preferred.
- Minimum of 3-5 years in office management or executive assistant roles.
- Exceptional organizational and multitasking abilities.
- Proficiency in Microsoft Office Suite, Smartsheet, and video conferencing tools.
- Strong written and verbal communication skills.
- Ability to work independently, prioritize tasks, and meet deadlines.
- Discretion and professionalism in handling sensitive information.
- Positive, solution-oriented attitude and strong interpersonal skills.
- Comfortable and experienced in navigating the unique challenges of a startup environment.

Salary Range
The base salary range for this role is $75,000-$105,000. Exact title and compensation may vary based on skills, experience, and education.
