Administrative Specialist, Customer Fulfillment and Servicing

RIVANNA is seeking a self-motivated and detail-oriented administrator to contribute to the rapid growth of our emerging medical device company. You will work within a talented team of professionals as we strive to achieve our mission of improving global human health. This is a hands-on multidisciplinary role in which the right candidate serves the needs of our customers alongside our internal sales, marketing, and manufacturing operations teams.

Key Responsibilities

  • Confirm purchase orders, enter sales orders, prepare, and arrange shipments
  • Work with marketing to ensure traceability of customer order to marketing source
  • Work with sales to ensure a seamless customer experience from order to delivery
  • Field customer logistics and product troubleshooting requests
  • Inventory transfer entries
  • Final product inspection
  • Product packaging and labeling
  • Manage and perform quality control on production DHR records
  • Various additional administrative tasks in the manufacturing operations department
  • Coordinate trade show shipments

Experience and Qualifications

  • Computer skills and proficiency in Microsoft Word and Excel
  • Administrative and customer service experience
  • Experience in Quickbooks and CRM systems is preferred
